The Commure Pro Mail module is an optional internal e-mail system that your organization may or may not have chosen to implement. You can use Commure Pro Mail to exchange e-mails with other users in your organization, including links to patients, if your organization has implemented this feature and if your administrator has enabled it for you via the setting below: This setting determines whether you can use Commure Pro Mail at all, and if so, the persons to whom you can send e-mail. Please note that the Commure Pro Mail application does not allow you to send e-mail to persons outside of the organization; it is for internal communication only. Once enabled, the Commure Pro Mail feature is available via the Inbox option on the web platform. Please note that Commure Pro Mail cannot be sent or viewed on the Android or Apple platforms. You can send general e-mails, or you can send e-mails about specific patients that contain a link to the Patient Data Display for those patients (via the Details icon ). For example, if you wanted to request a consult from another provider, you could send an e-mail that includes a link to the patient’s information, so that the recipient provider could immediately review the patient’s history. When the Commure Pro Mail application is turned on for a user, the Inbox tab will display among the top-level navigational tabs. If there are new e-mails, the number of e-mails is displayed on the tab as Inbox (n), where (n) represents the number of new e-mails. Sending Patient-Specific Commure Pro Mail

Providers can send e-mails about a particular patient to one or more other providers. For example, a provider could send an e-mail containing a link to reference information about a particular patient. From the Patient List tab:
  1. Click on a patient name in your patient list on the left side of the screen.
  2. Click Send Commure Pro Mail , located in the upper right corner.
The Send Commure Pro Mail window opens. It is composed of three sections: the User Search area at the top left is where you search for the users to whom you want to send an e-mail, the Recipients area at the top right contains the final list of recipients that you have identified, and the bottom half is where you enter the message itself. Since you are sending a patient-specific e-mail, it contains the patient’s name, age, gender, and MRN, along with a Details icon (the link to the patient’s information), just below the Subject field.
  1. In the User Search area, enter some or all of the recipients last name or username in the User Name/ID field, and then click the Search button. All users whose name or username contains those letters appears immediately below. To further refine your search, you can select a department label from the Department drop-down list. To limit the number of matches, select a number from the Max # of Search Results drop-down.
  2. In the results area just below the Max # of Search Results field, click on a user to select them, and then click the Add Selected Users button. This action moves the user’s name to the Recipients section, located on the right side of the screen. You can select more than one user. You can also perform multiple searches to find several different users (click the Reset button to clear the search criteria and start a new search). Use the scrollbar to the right of the info icons to search through a longer list.
  3. Enter the subject of your e-mail in the Subject field.
  4. Check the Importance: High box if you want this e-mail to be flagged as important in the recipient’s Inbox.
  5. Enter the text of your e-mail in the Message field.
  6. Click the Send button to send the e-mail, or click Cancel to exit without sending the e-mail. Once sent, the recipient can view the e-mail via the Inbox tab. From the Patient Search tab:
  7. Locate the patient by entering some descriptive criteria in the Patient Search Criteria or Visit Search Criteria fields, and the clicking either the Search for Patients or Search for Visits button (see Searching for Patients or Visits for more information).
  8. Click on the patient to select them from the search results in the bottom section of the screen.
  9. Click Send Commure Pro Mail , located at the top right corner of the results section of the screen.
The Send Commure Pro Mail window opens. The steps from this point forward are identical to those listed above. Follow the instructions, starting at Step 3.

Sending General Commure Pro Mail

To send a general e-mail, follow these steps:
  1. Click the Inbox tab and then the Send Commure Pro Mail link.
The Send Commure Pro Mail window opens. The screen is identical to that seen when sending a patient-specific e-mail except that it does not contain a link to patient information.
  1. Follow the steps outlined in Sending Patient-Specific Commure Pro Mail starting at Step 3.

Viewing and Responding to Commure Pro Mail

The e-mails that other users have sent to you, as well as the e-mails you have sent to them, can be viewed on the Inbox tab. You can print e-mails, reply to them, or forward them to another user. If the e-mail concerns a particular patient and contains a link to the patient’s information, you can click the Details icon to view the patient’s information immediately. To view the e-mails you have sent or received, follow these steps:
  1. Click the Inbox tab to access the Inbox.
The Inbox screen appears. It contains two panes. The left pane has three links labeled Commure Pro Mail, Outbox , and Send Mail. The Commure Pro Mail link lists all e-mails you have received. The Outbox link lists all e-mails you have sent. The Send Commure Pro Mail link allows you to send a general e-mail. The right pane displays the details of the e-mail that is currently selected on either the Commure Pro Mail or Outbox tab.
  1. To view e-mails that others have sent you, click the Commure Pro Mail link (the default view), scan the list of e-mails, and then click the e-mail that you want to read. E-mails that you have not yet read appear in bold typeface, while e-mails that you have already viewed are displayed in regular typeface. (To view e-mails that you have sent to others, click the Outbox link.)
  2. The details of the e-mail appear on the right pane of the screen. If the e-mail contains a link to patient information, the patient’s name, age, gender, MRN, and a Details icon are included in the heading area at the top of the e-mail. From this pane you can take a variety of actions:
    • Click Details (if present) to view the Patient Data Display for the patient.
    • Click Print to print a copy of the e-mail.
    • Click Reply to send a response back to the sender. The Send Commure Pro Mail screen opens with the sender’s name already selected in the Recipients area, and the text of the original e-mail listed in the Message field. Select any additional recipients, if desired, and enter the text of your response in the Message field.
    • Click Reply to All to send an e-mail to the sender, as well as all other persons included on the original e-mail. The Send Commure Pro Mail screen opens with the sender’s name and all other persons already selected in the Recipients area, and the text of the original e-mail listed in the Message field. Add or remove persons from the list of recipients, if desired, and enter the text of your response in the Message field.
    • Click Forward to send a copy of the e-mail to a new recipient. The Send Commure Pro Mail screen opens with text of the original e-mail listed in the Message field. Select one or more recipients and enter any additional message you want to include in the Message field.
    • Click Delete to delete the e-mail from your Inbox.
    • Click the Delete all messages button (from the Outbox tab) to simultaneously delete all e-mails that are currently stored in the Outbox.
